Qube NZ Empty Container Depots

SOLUTION

  1. Sophisticated Prepayment Technology: Inbound Connect’s VBS is equipped with advanced prepayment capabilities that allow transport operators to pay for bookings in advance, significantly reducing administrative overheads for both Qube NZ and its transport operator users, eliminating the costly ‘chasing’ of money and providing greater certainty for all parties.
  2. Seamless Integration and Real-time Updates: The platform seamlessly integrates with existing operational systems, providing real-time updates and visibility of depot activities. This integration ensures that all stakeholders, including depot staff, transport operators, and customers, have access to accurate and validated information at all times.
  3. Enhanced User Experience: With an intuitive interface and easy-to-use booking system, Inbound Connect’s VBS minimises the time and effort required for transport operators to make, modify, or cancel bookings. This streamlined process enhances user satisfaction and reduces errors and unnecessary costs for transport operators using Qube NZ sites.
  4. Customisable Features and Functionality: Inbound Connect’s platform is highly customisable, allowing Qube NZ to tailor the system to their unique operational requirements. This flexibility ensured that all the specific needs of Qube NZ were addressed, enhancing overall efficiency and productivity.

Background

The empty container depots managed by Qube NZ play a critical role in New Zealand’s logistics and supply chain operations. As a hub for the storage, repair, and handling of empty containers, Qube NZ required a robust and reliable VBS to ensure smooth operations, minimize waiting times, and optimize yard management. Their existing VBS had a number of key limitations, which had led to operational inefficiencies and bottlenecks.

To overcome these challenges, Qube NZ required a partner capable of delivering a sophisticated and feature-rich VBS solution. Inbound Connect, a leader in the development of advanced technology platforms for the logistics industry, was selected to provide a comprehensive solution that could meet Qube NZ’s specific needs.

Challenges and transition process

One of the critical aspects of this project was the need to replace the existing VBS without causing any disruption to depot operations. This required careful planning and coordination between Qube NZ and Inbound Connect. The challenges included migrating data from the legacy system, training staff and users on the new platform, and ensuring that the switchover occurred without impacting day-to-day activities.

Significantly, Inbound Connect was able to implement 13 sites spread across NZ all on one day. This was possible because of the truly scalable nature of the Inbound Connect platform, and the very significant experience of the Inbound Connect team, who have a deep understanding of how to achieve an outcome such as this with no operational impact.  The process involved:

  • Data Migration and Testing: Inbound Connect worked closely with Qube NZ’s IT team to ensure a smooth migration of data from the old system. Rigorous testing was conducted to identify and address any potential issues before the go-live date
  • User Training and Support: Comprehensive training sessions were conducted for both Qube NZ staff and transport company users, ensuring they were well-acquainted with the new system. Inbound Connect also provided ongoing support to address any queries or concerns during the initial stages of implementation
  • Go-live and Monitoring: The switch to the new system was executed in a planned and controlled manner with continuous monitoring to ensure that there were no disruptions to operations.

Results and impact

The implementation of Inbound Connect’s VBS at Qube NZ empty container depots was a resounding success. According to Rob Harvey, Director of Operations at Qube NZ, the implementation was very successful, and the strong working partnership with Inbound Connect was a key reason for this. ‘We transitioned to Inbound Connect from an existing VBS system, and in doing so we wanted to ensure that there was no operational disruption, and that the user experience was improved. As well, there were certain important features that we required, including prepayment of VBS fees, that Inbound Connect was able to deliver seamlessly and above our expectations’.

The project was completed within a short timeframe and, importantly, without any operational disruption. Some of the key outcomes of the implementation include:

  1. Improved Operational Efficiency: With Inbound Connect, Qube NZ was able to streamline its booking processes, reducing waiting times for transport operators and optimising yard management. The integration of real-time updates further enhanced decision-making capabilities and operational transparency.
  2. Increased User Satisfaction: The user-friendly interface and efficient booking process led to a significant increase in user satisfaction. Transport operators appreciated the ease of making and managing bookings, and the advanced prepayment technology simplified financial transactions
  3. Enhanced Financial Management: The sophisticated prepayment technology provided by Inbound Connect improved cash flow management for Qube NZ, reducing administrative burdens associated with payment collection and reconciliation
  4. Scalability and Flexibility: Inbound Connect’s customisable platform provided Qube NZ with the flexibility to adapt to future needs and growth, ensuring that the system remains relevant and capable of supporting future expansion operations

Conclusion

The successful implementation of Inbound Connect’s vehicle booking system at Qube NZ empty container depots underscores the value of selecting a technology partner with a deep understanding of the logistics industry. Inbound Connect’s advanced VBS platform has allowed Qube NZ to achieve significant operational improvements, enhanced user satisfaction, and streamlined financial management, all within a short time frame and without disruption to day-to-day operations. This case study demonstrates how Inbound Connect’s technology can deliver exceptional results in partnership with forward-thinking organizations such as Qube NZ.
